MATUL Consultation Coordination
International Coordinator
1. Raise Funding, determine dates, location and theme
2. Appoint conference assistant and on-site coordinator
3. Draft initial programand objectives
4. Have input from MATUL Directors as to program design
5. Establish preconference materials production process
6. Delegate leadership across teh consultation
7. Redefine program
8. Organize two students to serve on conference committee. They will integrate session presentaitons and notes from presentations into Dreamweaver.
Conference Assistant
1. Establish database of potential participants in Xcel
2. Set up Registration system and get registrations
3. Send out initial information
4. Send out requirements for presentations
5. Collate changes to program, and send out revised program with finalized costings
6. Coordinate production of preconference materials
7. Obtain flight itineraries from all and communicate these with site coordinator
8. Arrange payments for flightsand in-country expenses where determined by intl coordinator
9. Complete dissemination of website info once complete
10 Send thankkyous to all delegates.
On-field Site Coordinator
1. Arrange location with costing and dates (Dec, 10 hrs)
2. Arrange for site visits, and church meetings on the Sunday ( Feb, 10 hrs)
3. Arrange for accommodation, (Jan, 10) food (Mar, 5) and airport pickups (April, 10),
4. Set up conference bookkeeping process and reimbursement process, complete with templates for final reporting (MAr, 10) and manage financials during the consultation(May, 20), presenting the International COordinator with the final accounting the day after the consultation (May 10).
5. Have volunteers print manuals pre-conference(3)
6. Supervise airport pickups, accommodation, food during conference (May 40)
6. Have volunteers print presentationsand distribute during conference (May, 3)
7. Assist International coordinator to supervise students in typing up presentations and integrating into Dreamweaver site.
8. Send thankyous to local leaders (2)
